This email is going to break down some of the IMPORTANT new features/procedures we are going to be implementing at Village Family Dental to increase the safety of our staff and patients during the on-going pandemic. I’ll do my best to keep it brief (famous last words).
PPE: These three letters are all you’ve heard about lately, I’m sure. PPE is what we wear to protect ourselves and our patients from contamination. The new guidelines from the CDC and ADA require us to wear A LOT MORE PPE than we did previously until the pandemic is over. In an effort to lessen the financial burden caused by the increased PPE dental insurance companies have agreed to offer some help by allowing an additional amount towards PPE costs. Our fee will be $19 per appointment. If you have insurance, that cost will be covered. This is a temporary measure which we hope will end in the fall. Thank you for your understanding.
Before your appointment:
1 WEEK prior to your appointment we will conduct a Wellness Check via text or phone call. The Wellness Check will take about 5 minutes and, at this time, will be necessary to complete prior to confirming your appointment. We will also go over our new check-in procedures and your appointment co-pays (which will now be done prior to your appointment instead of after your appointment).
1 DAY prior to your appointment you will receive a text from our office confirming your appointment. That text will also contain a reminder of how to check-in. (It’s also posted on our front door!!)
>>NOTE: CANCELLATION POLICY: A fee of $50 per scheduled hour of time will be assessed to all appointments cancelled without at least 24-hours of notice. Additionally, if you cancel an appointment during the weekend (Friday through Sunday) for Monday, a late cancel fee will be assessed. Unfortunately, we have 3 months’ worth of patients waiting for a few precious spots on our schedule. We appreciate your help and understanding in regards to this updated policy.
Day of your appointment:
Please arrive ON TIME for your appointment. Early and late arrivals may not be accommodated due to our new scheduling procedures.
YOU HAVE ARRIVED , NOW WHAT?
Please call or text the office at 503-244-3712 and let us know you are here! If you have walked, biked or arrived by public transportation please feel free to wait at our picnic table or just outside the door on our porch. A staff member will be out to check you in for your appointment. This will entail taking your temp with a touchless thermometer, checking your oxygen level (just a little device that sits on your finger) and going over the wellness check questions one more time (a lot can change in a week!).
All co-pays or patient portions will be taken care of at this time, if it has not been done by phone already.
ARE YOU ROLLING YOUR EYES YET? I know, it’s a lot… but, it’s for your safety and our safety!
>>PATIENT’S ONLY<< Unless you are under the age of 12 or require assistance we ask that all patients come in to the building for their appointment by themselves. All others (Significant others, Friends, Parents/Siblings…) please wait in the car or take a walk in the village – it’s a real treat!
After your appointment:
QUICK FACT: Following most dental work, you are likely covered in a microscopic layer of aerosols containing your germs (Ewwww, I know… but not harmful - they are your germs after all).
Our goal is to minimize the amount of contact your germs have with the patients arriving after you. With that in mind, we will be conducting all appointment scheduling and treatment planning via phone or email as opposed to at the front desk following your appointment.
So, I think that’s it for now. I know your probably thinking “I thought she’d never shut up” but really, we are just trying to do our part. It’s the least we can do, don’t ya think!
